Natural Language Query (NLQ) Setup

To enable Natural Language Query (NLQ) in Scan2x, navigate to the Advanced Scan Settings tab and select the "Process with Natural Language Query" option. Once selected, click Apply Changes to save your settings. This will activate NLQ for processing scanned documents for the specified scan job.

Next, go to the Metadata tab and create a new metadata field specifically for NLQ, such as Invoice Number. When creating the field, ensure that the Default Type is set to Natural Language Query, as this allows the system to recognize and process queries using NLQ.

Once the metadata field is created, proceed to the NLQ Setup by clicking the NLQ Setup button. Here, the administrator will need to enter a prompt that defines what kind of data the AI should extract from the scanned documents. The prompt should be clear and specific to ensure accurate results. For example, if the administrator needs to extract the Invoice Total and Supplier Name from scanned invoices, you could enter a prompt such as, "Extract the invoice total and supplier name from scanned invoices." Additionally, you can enter specific AI instructions to fine-tune the extraction process. If you want the AI to focus only on machine-printed text and ignore handwritten content, you could specify, "Ignore handwritten text and extract only machine-printed values."

After configuring the prompt and AI instructions, it is important to test the setup to ensure the desired results are obtained. Select a file sample that will be used to test, and click the Test button to run a sample query and review the AI-generated output. If the results meet expectations, click Apply to confirm the configuration, followed by clicking Apply Changes in Jobs Manager to finalize the settings. If the test results are not satisfactory, refine the prompt or adjust the AI instructions, then test again until the desired output is consistently achieved.

Once configured correctly and saved, NLQ will enable intuitive and efficient data retrieval using AI, streamlining document searches without requiring complex queries.
