Job Automation with AI

Job Automation groups can utilize AI modules integrated with Scan2x to process the necessary metadata seamlessly. This is achieved by creating a Parent Group, which contains more than one sub-job within it.

In the Advanced Scan Settings tab, tick the Process with Scan2x AI Cloud Services option, and select the desired AI module from the dropdown menu. Ensure that both the Scan Group and all its sub-jobs are configured to use the same AI module.

From the Scan Group, go to the Metadata tab and click the Manage Mapped Fields button. Then import the templates that the sub-jobs will be using. This will mean that AI credits will only be used once to analyse the documents in the Scan Group and will appear for all the sub-jobs in the Metadata tab automatically.

In the sub-job's Advanced Scan Settings tab, make sure the same AI module is applied as in the Scan Group.

Once entering into the Manage Mapped Fields tab, the templates of the sub-jobs will be present. Map the appropriate values to their metadata fields.

First by selecting the Metadata field (1) from the dropdown and then mapping it to the appropriate AI field (2).

Identify a unique feature in each sub-job, such as an OCR'd Metadata Zone, that is specific to each job. This ensures the documents are correctly split.

NOTE: Using a Mapped AI Field as a splitting condition in a Job Automation group is possible to do. However, we recommend using other splitting conditions, such as OCR'd Metadata Field, Barcode etc., as the Mapped AI Field splitting condition will use up an AI credit for each page that is scanned in order to split documents accordingly, and another AI credit for each page that AI metadata is processed in a batch.

After setting a unique splitting condition for all sub-jobs, navigate to the Jobs Matching tab within the Scan Group. Ensure that all Match Conditions are displayed in green, indicating they are unique and correctly configured.

Once the Job is run, Scan2x will identify the uploaded documents based on the templates given.

In the event, that a document is not recognized, one can simply link it to a template from the available drop down in the preview screen.
